Employment type: Full-time

Shift: UK working hours

Work setup: Work from home

This role supports end-to-end finance operations, including AP, AR, VAT under Making Tax Digital, month-end close, and management reporting in Xero and supporting systems.

Responsibilities

Own the day-to-day finance operations, including:
- AP and AR (end to end in Xero)
- Accounts inbox management
- Supplier invoice processing and channel postings
- Reconciliations in Xero through to month-end, management accounts, and VAT
Prepare and process payment release workflows, including statutory filings such as VAT returns (items above delegated limits remain with an authorised reviewer)

Accounts Payable (AP) and Accounts Inbox

Run the accounts inbox, including supplier invoices, statements, remittances, and internal queries
Own AP within Xero: code and process supplier invoices for approval
Prepare weekly or fortnightly supplier payment runs for release by an authorised reviewer
Reconcile supplier statements, including manufacturer and freight/duty charges
Check claim refunds and credit notes

Accounts Receivable (AR), Sales, and Channel Postings

Own AR within Xero
Raise invoices in Xero and ERP, including wholesale invoices to stockists
Raise wholesale deposit and proforma invoices from ERP and NuORDER
Post sales and invoice uploads for A2X, Shopify, eBay, Global-e, USD, and John Lewis
Chase overdue wholesale accounts and keep the aged debtors list current
Reconcile marketplace remittances and deductions from partners

Cash, Cards, and Reconciliations

Reconcile bank accounts and card statements daily or weekly
Reconcile payouts from Shopify, PayPal, Klarna, and other payment providers for the UK and US sites
Produce the USD payout report, and the eBay and HA reconciliations
Manage company cards: record cardholder and business purpose for every transaction, collect receipts, and reconcile in Xero
Handle multi-currency transactions and FX differences, including USD

Stock, Reporting, and Month-End

Keep stock movements in ERP aligned with stock and cost of sales figures in Xero
Run month-end close activities including accruals, prepayments, and balance sheet reconciliations
Maintain the fixed-asset register
Prepare the monthly management accounts pack for review
Prepare monthly and quarterly royalty reports for review
Provide channel-level sales and margin data for UK, US, wholesale, and marketplaces

VAT and Compliance

Prepare quarterly VAT returns under Making Tax Digital, for review and filing by an authorised reviewer
Handle import VAT and duty correctly, including postponed VAT accounting
Prepare year-end schedules and support the external accountants

Systems and Process Documentation

Implement and work with AI tools for AP and AR
Maintain Xero bank rules, receipt capture, and approval workflows
Document finance processes and playbooks

Requirements

Xero: owned AP and AR end to end in Xero
Experience: 5+ years in bookkeeping or accounting, with at least 2 years supporting UK businesses
UK VAT and Making Tax Digital experience
Month-end close: able to run month-end close independently
Strong Excel or Google Sheets skills (lookups, pivots, reconciliations)
Able to work independently on UK hours with clear written English

Preferred Qualifications

Implementing and working with AI tools in a finance workflow
ERP experience, ideally Zedonk
A2X (or similar ecommerce-to-Xero connector) experience
Retail, ecommerce, or fashion experience with stock and multiple sales channels
Multi-currency and marketplace reconciliation experience
Qualification such as AAT Level 4, part-qualified ACCA or CIMA, or Philippine CPA
Xero Advisor certification
