Remote · US · Philippines Contract
Est. $18K – $30K/yr

Overview

This independent contractor role is responsible for day-to-day treasury operations across a portfolio spanning several hundred property and ownership entities. Cash is held across many accounts and owners, and every payment, transfer, and lender debit must be landed in the correct account on time with a clean audit trail.

Schedule requires six hours of overlap with US Pacific business hours (8:00 a.m. – 2:00 p.m. PT), Monday through Friday. Engagement is full-time (approximately 40 hours per week).

Responsibilities

Cash positioning and balance tracking

  • Maintain daily and weekly cash position across all managed bank accounts, by entity and by ownership group.
  • Reconcile tracked balances to bank portals and to the accounting system; investigate and clear differences rather than noting them.
  • Flag accounts trending toward shortfall far enough in advance to support calm funding decisions.
  • Keep account inventory accurate, including openings, closings, signers, ownership changes, and entity renames.

Wires and ACH execution support

  • Prepare wires and ACH transactions for review and approval, ensuring complete supporting documentation is attached.
  • Verify payee banking details against an independent source before queuing payment, and apply callback verification for any new or changed instruction.
  • Track same-day cutoffs across banking partners and sequence the queue so time-critical items clear on the intended date.
  • Confirm settlement and follow returns, rejects, and recalls through to resolution.

Lender forms and ACH authorizations

  • Complete and maintain lender banking forms, ACH debit authorizations, payment change notices, and voided-check or bank-letter packages.
  • Maintain a current register of which lender debits which account, on what day, and for what amount; update when accounts or amounts change.
  • Coordinate signatures, notarizations, and lender confirmations; ensure each form reaches written acknowledgment (submitted is not completed).

Loan payment and funds tracking

  • Track scheduled debt service across the portfolio by property and lender (due date, amount, funding account, and clearing status).
  • Identify upcoming payments where property cash will not cover the debit and assemble funding options for review.
  • Monitor funds movement between related entities and accounts so every transfer is supported and recorded on both sides.
  • Reconcile scheduled vs. cleared amounts each cycle and escalate exceptions.

AP decisioning and payment batches

  • Review open payables against available cash by property and recommend approve, hold, or partial-pay, including stated reasoning.
  • Prioritize by exposure rather than age (utilities at shutoff risk, taxes and insurance, debt service, and lien-capable vendors ahead of discretionary spend).
  • Build payment batches for approval, then release and record them once approved.
  • Resolve vendor payment inquiries and keep vendor remittance data clean.

Client onboarding — treasury side

  • Stand up the treasury footprint for a new client or property: account openings, signer/user setup, portal access, ACH and wire templates, and lender debit authorizations.
  • Establish opening cash position and reconcile it to what the prior manager handed over.
  • Redirect lender debits, utility autopays, and recurring transfers to new accounts and confirm they actually moved.
  • Document the client’s treasury setup so other team members can pick it up.

Bank relationship transitions

  • Support migrations between banking partners: mapping, openings, funding, parallel-running, and closing entity by entity.
  • Maintain a daily cutover tracker showing what has moved, what is pending, and what is still debiting the old account during active transitions.
  • Test new payment rails and templates before live volume runs.
  • Confirm every recurring debit and credit has been repointed before closing an old account.

Requirements

  • Finance or accounting background: a degree in finance, accounting, or a closely related field, or equivalent depth built through the work itself.
  • 4 or more years in treasury, cash management, AP, or bank operations, including hands-on execution of wires and ACH.
  • Experience managing cash across a large number of bank accounts, legal entities, and distinct clients simultaneously (not a single-entity cash cycle).
  • Strong ability to keep many parallel obligations on track (recurring calendar, multiple open transitions, and ad hoc requests running concurrently).
  • Advanced Excel skills: lookups, pivots, reconciliation to the penny, and comfort building a file someone else can follow.
  • Strong written English and the confidence to raise a problem early in writing.
  • A reconciliation mindset: unexplained variance must be chased down, not annotated.
  • Reliable home working setup to support a six-hour Pacific overlap, including stable high-speed internet, a quiet workspace, and a backup connection.

Preferred Qualifications

  • Real estate or property management accounting background, including trust or client-funds handling (preferred, not required; the real estate context can be taught).
  • Hands-on experience with AppFolio or a comparable property management accounting platform.
  • Experience with commercial bank portals, positive pay, and ACH origination files.
  • Exposure to lender servicing requirements and loan payment administration.
  • Demonstrated experience writing procedures for work you were the first to perform.

Compensation & Benefits

  • Independent contractor engagement. Benefits, leave accrual, and statutory employment entitlements do not apply.

Location

  • Remote — Philippines.
  • Must maintain six hours of daily overlap with US Pacific business hours (8:00 a.m. – 2:00 p.m. PT), Monday through Friday.

Engagement Terms

  • Independent contractor engagement (not employment). Invoicing is required for hours worked, and the contractor is responsible for taxes and statutory contributions in their country of residence.
  • Contractor provides their own computer and internet connection. Software licenses and system access are provided.
  • The organization will request completion of a Form W-8BEN to document non-US status for tax purposes.

How to Apply

Submit your resume and include:

  • The largest number of bank accounts and legal entities you have managed cash across at one time.
  • One example of a payment or reconciliation problem you caught before it became someone else’s issue.
