Overview
This role involves managing the full accounts payable cycle for a jobsite operations organization supporting temporary power, climate control, and tower lighting. You’ll ensure invoices are accurately coded and matched, support timely payment runs, and help maintain clean vendor records and reporting as the organization grows.
Responsibilities
- Process high volumes of vendor invoices by reviewing, coding, and entering invoices; match to purchase orders and receiving documentation; resolve discrepancies before invoices post to the ledger.
- Ensure job and GL coding accuracy by coding invoices to the correct general ledger accounts, jobs, and cost categories to support clean project profitability and equipment cost reporting.
- Run scheduled payments by preparing and processing check, ACH, and card payment runs; apply payment terms, discounts, and approval requirements.
- Reconcile vendor accounts by reconciling vendor statements, researching aged and unmatched items, and working with vendors to resolve disputes, credits, and short pays.
- Support month-end close by preparing AP accruals, reconciling the AP subledger to the general ledger, and clearing open items to avoid delays.
- Build and maintain payables and spend reporting, including aging, cash requirements, and vendor spend reporting; flag trends and exceptions to the Manager, Accounts Payable and Accounting leadership.
- Improve the payables process by identifying bottlenecks and recurring errors and proposing fixes; help implement automation and workflow improvements in existing systems.
- Maintain vendor data and compliance by maintaining vendor master records, collecting and verifying W-9s, supporting 1099 preparation, and applying sales and use tax treatment correctly.
- Support audits and internal controls by pulling documentation for internal reviews and external audit requests and following approval and segregation of duties requirements.
- Partner with field and operations teams to chase down missing approvals, packing slips, and PO details to ensure invoices are processed without delay.
- Reconcile high-volume corporate credit card accounts end-to-end (50+ cards / $100K+ monthly volume), ensuring transactions are matched with valid receipts, properly coded, and cleared against the general ledger.
- Investigate and resolve credit card transaction discrepancies, disputed charges, and unapplied credits with vendors and card-issuing banks.
