Overview
This role is responsible for running Accounts Payable (AP) and Travel & Expense (T&E) processes end to end, leading a team of four, and ensuring accurate, controlled, and timely month-end close. Work is completed using Coupa, Brex, and NetSuite, with coordination across Procurement, Treasury, Accounting, and department budget owners.
The position is hired in the US and supports every country where the organization operates.
Responsibilities
- Lead, coach, and develop a team of four AP and T&E professionals, including goal setting, performance reviews, and workload planning.
- Own the AP cycle end to end: invoice intake and coding, three-way match, approvals, payment runs, and vendor inquiries.
- Manage AP workflows in Coupa, card and spend activity in Brex, and posting and reconciliation in NetSuite; ensure clean data flow between systems.
- Deliver AP accruals, subledger-to-GL reconciliations, and aging reviews on the close calendar.
- Maintain internal controls over disbursements, including segregation of duties, approval limits, vendor master changes, and duplicate payment checks.
- Support internal and external audit requests.
- Oversee 1099 and tax reporting, plus sales and use tax and VAT treatment on vendor invoices across jurisdictions.
- Partner with Procurement, Treasury, Accounting, and department budget owners to resolve invoice and payment issues quickly.
- Track AP metrics such as days payable, invoice cycle time, early-pay capture, and exception rates, and use insights to identify process improvements.
- Document procedures and drive automation improvements as the organization and vendor base grow.
Requirements
- Demonstrated experience leading an AP team.
- 5+ years of AP experience, including 2+ years managing or leading AP staff (preferred).
- Solid understanding of month-end close, accruals, and AP controls in a public or audit-ready environment.
- Hands-on experience with Coupa and NetSuite.
- Experience with Brex or a comparable corporate card platform is strongly preferred.
- Experience with global, multi-entity, multi-currency payables, including foreign currency invoices, international payment methods, and VAT and other statutory requirements across jurisdictions.
- Strong Excel skills and comfort with reporting and reconciliation.
- Clear communication and sound judgment on when to resolve issues directly versus escalate.
Preferred Qualifications
- Bachelor’s degree in accounting, finance, or a related field.
- Experience with SOX controls or a similar compliance framework.
- Experience supporting an AP team through a system migration or process redesign.
Compensation & Benefits
- Competitive compensation.
- Full-time employees participate in an ownership program.
- Flexible work culture (remote, hybrid, and in-office collaboration spaces vary by role, team, and location).
- Generous time off, including local holidays and an annual “Dim the Lights” period in late December, with teams encouraged to step back and recharge based on departmental needs.
- Comprehensive wellness programs and mental health support.
- Learning and development resources, including professional development tools and tuition reimbursement.
- The technology and tools needed to do your best work.
