  • Partner with department leaders and budget owners to obtain timely invoice approvals and resolve discrepancies
  • Validate deferral and amortization schedules for prepaid expenses (e.g., software licenses, maintenance contracts, insurance) to ensure accurate monthly expense recognition
  • Set up and record new fixed assets
  • Support new vendor onboarding by collecting required documentation, W-9 forms, verifying banking and remittance details, and setting up vendors in the ERP with appropriate controls

    • Validating TINs
    • Reconciling payments
    • Preparing filings
  • Reconcile vendor statements and resolve outstanding balances, duplicate payments, or misapplied payments
  • Maintain accurate, up-to-date vendor master data and organized records of invoices, payments, and vendor correspondence
  • Assist with month-end close, including AP accruals and AP subledger-to-GL reconciliations
  • Support internal controls and external audit requests with timely, well-documented information
  • Build positive relationships with vendors and internal teams by responding promptly to inquiries and helping improve AP processes as the organization scales

Requirements

  • Associate or bachelor’s degree in accounting, finance, or related field preferred
  • 2+ years of experience in accounts payable or general accounting, ideally in a multi-entity or high-growth environment
  • Proven ability to ramp up quickly in an existing AP function with limited onboarding
  • Ability to commit to the full duration of the temporary assignment
  • Working knowledge of prepaid amortization, fixed asset capitalization, and basic accrual accounting
  • Familiarity with Form W-9 requirements and 1099 reporting (1099-NEC/1099-MISC)

  • Excellent written and verbal communication skills
  • Ability to work independently and collaboratively, with a strong sense of ownership and integrity

Preferred Qualifications
