Overview

The organization is seeking a Billing Analyst to support project teams with accurate billing operations and project information management.

This role involves reading and interpreting contracts, entering and maintaining project data in the accounting system, creating and submitting client invoices monthly, and partnering with internal stakeholders and external clients to support billing requirements throughout the project lifecycle.

Responsibilities

  • Support billing for multiple Project Managers by ensuring fees are properly entered in the system and that invoices are issued monthly and on time in accordance with contract terms
  • Request necessary contract documentation and related materials (e.g., labor plans, fee breakouts, authorizations to proceed) to ensure compliance with client agreements and firm policies
  • Enter project information into the accounting system based on contracts and Project Manager/Client preferences and requirements
  • Maintain, track, and update project-related records, including change orders and additional services, in collaboration with the project team throughout the project lifecycle
  • Collaborate with clients, Project Managers, and Project Accountants to understand project requirements, coordinate with consultants, and build strong working relationships across the project team
  • Review consultant invoices for accuracy and process them in conjunction with monthly billing, ensuring revenue offsets costs within each accounting period; reject and request revised invoices as needed and confirm required documentation is in place
  • Review WIP prior to billing to ensure labor and expenses are posted correctly, transferring between phases or accounts as needed
  • Create and submit client invoices according to established billing processes, compiling required documentation (e.g., client-specific invoice templates, special reporting, lien waivers, etc.)
  • Perform reconciliations of accounts receivable and billing records to ensure accuracy and completeness; process adjustments and corrections to invoices as needed in adherence to team policies
  • Support compliance of billing practices with relevant accounting standards, contractual obligations, and legal requirements; maintain accurate and comprehensive records for audit purposes
  • Assist with monitoring working capital to support prompt billing of services and timely payment from clients
  • Assist clients with billing inquiries, disputes, and adjustments
  • Perform the monthly collections process and resolve issues promptly and professionally
  • Close out projects in the system upon completion by writing off WIP and removing backlog when needed; follow up with Project Managers to ensure timely project closeout
  • Identify opportunities for process and system improvements and recommend changes to enhance billing efficiency and accuracy
  • Work closely with other departments (finance, project management, and legal teams) to support seamless billing operations and enforce established billing procedures and policies

Requirements

  • Bachelor’s degree in Accounting, Finance, or an equivalent combination of education and experience
  • Typically 2+ years of experience
  • Experience with MS Office Suite, including Excel, Outlook, and Word
  • Basic understanding of accounting principles and billing practices, particularly in a project-based environment
