Overview

The organization is seeking a builder to take full ownership of Billing, Accounts Receivable, and Collections across high-volume SMB dental practices and complex Enterprise/DSO accounts. This role will establish scalable, well-controlled processes in a fast-growing environment and reports to the Controller.

Responsibilities

Billing, AR & Collections — SMB

  • Own end-to-end billing and invoicing for a high-volume book of SMB dental practice customers, including recurring subscription billing and usage-based charges.
  • Oversee collections workflows, including timely follow-up, accurate account resolution, and consistent execution of billing and collection procedures.
  • Monitor AR aging, identify at-risk accounts early, and reduce days sales outstanding (DSO) and delinquency rates.
  • Partner with Customer Success and Support to resolve billing disputes and payment failures quickly, minimizing involuntary churn caused by billing friction.
  • Ensure promotions and discounts—including free months, introductory pricing, and retention offers—are accurately reflected in the billing system and on customer invoices.

Billing, AR & Collections — Enterprise / DSO

  • Own billing and collections for Enterprise and DSO accounts, including complex, contract-driven invoicing with multi-location rollups, tiered pricing, custom terms, milestone fees, and usage-based charges.
  • Manage high-dollar, high-touch customer relationships and work directly with finance and procurement contacts to resolve disputes and negotiate payment plans when needed.
  • Partner with Legal and Sales before deals close on contract terms affecting billing and collectability, including payment terms, invoicing triggers, true-ups, and nonrefundable fee language.
  • Serve as the escalation point for at-risk Enterprise receivables, including past-due balances associated with contractual disputes.

Build the Function

  • Design and implement the systems, policies, and controls needed to scale toward $100M+ ARR; this is a build role, not a maintain role.
  • Evaluate and implement billing and AR tools and automation, in partnership with RevOps and Data, to reduce manual work and support SMB and Enterprise billing in one coherent system.
  • Establish credit policies, write-off and bad debt procedures, and revenue recognition-adjacent controls in partnership with the Controller.
  • Build reporting for aging, DSO, cash forecasting inputs, and collections effectiveness for board and leadership reporting.
  • Partner with Sales and Customer Success to ensure discounts, free months, promotional terms, and contract concessions are implemented accurately and consistently in billing systems.
  • Manage and grow the Billing/AR team, starting with one direct report and scaling headcount as volume and complexity require.

Build with AI

  • Identify opportunities for AI and automation to replace manual dunning, reconciliation, and dispute-triage work.
  • Use AI tools to accelerate collections outreach, aging analysis, and reporting rather than relying primarily on spreadsheets and manual follow-up.
  • Partner with RevOps and Data to pilot AI-enabled billing and collections workflows, such as automated dispute categorization and payment risk scoring.

Requirements

  • 5+ years in billing, accounts receivable, or collections, including meaningful experience in a startup or other fast-paced, high-growth environment.
  • Direct experience building AR and billing processes and systems from scratch, rather than only operating an inherited function.
  • Experience managing both high-volume, low-touch billing for SMB or subscription customers and complex, high-touch Enterprise or contract-driven billing, or strong experience in one area with clear aptitude for the other.
  • A high sense of urgency and comfort operating with incomplete tooling while building improved processes and systems.
  • Strong Excel and spreadsheet skills, along with experience using modern billing, invoicing, or ERP systems such as NetSuite, Stripe Billing, Zuora, QuickBooks, or similar platforms.
  • Excellent judgment regarding when to hold firm with a customer and when to escalate, particularly on Enterprise accounts with contractual complexity.
  • Clear, professional written and verbal communication for internal stakeholders and customer-facing collections conversations.
  • Curiosity and initiative in applying AI to business problems, with a preference for automation and reducing manual work rather than adding headcount to manage volume.
  • Ability to serve as the operational check on Sales and Customer Success by translating deal terms, discounts, and promotions into accurate billing setup and identifying gaps before they cause revenue leakage or customer disputes.

Preferred Qualifications

  • Experience in healthcare, dental, or another regulated industry with multi-location or DSO-style customer structures.
  • Experience partnering with Legal on contract terms affecting billing and collectability.
  • Prior people-management experience or a record of joining as an early hire and later building and leading a team.

Compensation & Benefits

  • Competitive benefit and compensation offerings
  • Ongoing training and development opportunities
  • Unaccrued, flexible PTO
  • Remote work
