Overview

This role is responsible for payroll, payroll tax processing, and employee benefit tracking and accounting. The position is embedded in the Finance team and requires strong experience in payroll processing and multi-state payroll tax compliance.

This is a fully remote, part-time position expected to require 15–25 hours per week, with regular interaction with employees.

Responsibilities

  • Lead bi-weekly payroll processing submissions to the payroll processor, Paylocity, ensuring accuracy.
  • Maintain employee records, including new hire setups, terminations, salary adjustments, and tax elections.
  • Review and verify timesheets; resolve discrepancies with managers as needed.
  • Serve as the primary point of contact for employee questions regarding paystubs, taxes, and timesheets.
  • Maintain strict confidentiality of sensitive payroll and employee information.
  • Review payroll tax filings prepared by the payroll processor to ensure correctness.
  • Make state tax registrations for income tax withholdings and State Unemployment.
  • Maintain state payroll tax accounts, including filings, payments, and agency correspondence, ensuring compliance across all applicable jurisdictions.
  • Complete other payroll-related submissions and transmissions (e.g., 401k contributions, HSA submissions).
  • Ensure all payroll activities comply with local, state, and federal regulations.
  • Update payroll, payroll tax, and benefit archives to ensure proper record retention.
  • Support onboarding/offboarding administration, including adding or removing employees from HR-related systems.
  • Administer benefit programs, including using benefit carrier websites and reconciling payroll and benefit vendor invoices for accuracy; partner with HR to resolve discrepancies.
  • Administer the Concur expense platform, including reviewing and processing expense reports, ensuring compliance with the expense reimbursement policy, and coordinating timely reimbursement through payroll.
  • Forecast future payroll cash requirements in support of cash forecasting.
  • Support the monthly accounting close and reporting cycle by updating vacation accrual, payroll liabilities, and performing other financial reporting duties.
  • Lead year-end payroll activities (e.g., W-2 preparation).
  • Complete special accounting and HR projects as necessary.

Qualifications

  • Bachelor’s degree or equivalent work experience.
  • Minimum of 5 years of experience submitting and accounting for small company payroll and working with payroll taxes.
  • Exceptional attention to detail and willingness to support Finance priorities in a fast-moving environment.
  • Strong Excel and spreadsheet skills, including pivot tables and vlookup/hlookup formulas.
  • Strong customer service mindset to address internal Finance customers’ needs.
  • Demonstrated aptitude for learning new software applications.
  • Self-motivated and comfortable working independently under general direction.
  • Excellent written and verbal communication skills.
