Overview

This role owns the billing-to-cash process end-to-end for a remote team that manages newsletter and media client subscriptions. You will handle client invoicing, collections, and maintaining the books in QuickBooks Online. The position is a full-time contractor role working on US Eastern hours.

Responsibilities

  • Run Stripe invoicing every 4 weeks, in advance, so each client receives a correct bill on time.
  • Calculate variable fees from contracts and ad spend reports, verifying each amount before invoices are sent.
  • Chase late payments every 3 working days and escalate quiet clients so cash is received sooner.
  • Apply each incoming payment to the correct invoice and keep the AR aging report current.
  • Maintain QuickBooks Online books, including reconciling:
    • Bank accounts
    • Credit cards
    • Accounts receivable (AR)
    • Accounts payable (AP)
  • Perform monthly close and deliver clean numbers for an outside accountant or CPA.
  • Set up new clients in Stripe, prepare final bills for leavers, and support DocuSign contract administration so billing starts and ends cleanly.
  • Document finance procedures and maintain trackers so the team can reliably follow them.

A Week in the Role (Examples)

  • Monitor Mercury and Stripe early to identify failed charges and upcoming renewals; post an update in Slack.
  • Manage AR follow-ups using the shared AR mailbox: send reminders on schedule, keep notes dated in the billing sheet, and escalate if clients go quiet.
  • For variable fee invoices: review the contract, pull the ad spend report, calculate the fee, and confirm it before sending.
  • Investigate mismatched payments by tracing the payment to the invoice and bank lines; report findings in the finance channel.
  • When new clients sign: create payment links/subscriptions in Stripe and document billing terms so subsequent invoices use consistent facts.
  • Month-end: reconcile bank and credit card accounts, close the books, hand them to the accountant or CPA, and document any steps needed to complete the process.

Requirements

  • Bachelor’s degree in accounting or a related field.
  • 3 years in bookkeeping, billing, or accounts receivable, including billing or collecting for dozens of active clients.
  • Experience running the full billing-to-cash cycle for recurring clients:
    • Sending invoices
    • Tracking invoices via an AR aging report
    • Chasing late payers
    • Applying payments
    • Reconciling accounts
  • Ability to calculate invoices based on ad spend, usage, or contract terms.
  • Working knowledge of QuickBooks Online (bank and credit card reconciliation, chart of accounts, AR and AP) and Excel, including maintaining or building a billing tracker.
  • Demonstrated ability to maintain billing documentation (billing sheet, tracker, aging report) with current dates and action taken.
  • Collections experience with a scheduled escalation approach, including resolving cases where an invoice, payment, and bank line do not initially match.
  • Clear written and spoken English for client emails, daily updates, and calls with the founder and the Operations Manager.

Preferred Qualifications

  • Experience with Stripe (subscriptions, payment links, failed charges).
  • Experience with Mercury or another online business banking platform.
  • Experience invoicing in USD or working with US clients.
  • Experience with multi-currency bank reconciliation.

Compensation & Benefits

  • Estimated compensation: 1,000 to 1,500 USD a month, based on experience.
  • Paid time off.

Location

  • Fully remote from Latin America.
  • Works on US Eastern hours.

Interview Process

  1. First call: 30 minutes to discuss what you’ve built, working terms, and what you want next.
  2. First interview: discussion with the Operations Manager (your manager) on invoicing, collections, month-end, and day-to-day expectations.
  3. Short practical test: a task based on the work for the seat, completed on your own time; includes validation of calculated amounts and explanation of how you arrived at them.
  4. Call with the founder: discussion of cash collection approach, the numbers, and questions you have about the organization.
