Overview

This position serves as the primary contact for Accounts Payable (AP) and Purchase Orders. Responsibilities

  • Lead the AP month-end close process by preparing monthly liability accruals and miscellaneous schedules.
  • Create and maintain vendor master records with correct approvals.
  • Create and issue purchase orders in the accounting system in compliance with established purchasing policies across all departments and vendor groups.
  • Enter vendor transactions (invoices and credit memos) into the accounting system and file supporting documentation according to AP procedures.
  • Match invoices and purchase orders to receiving documents (e.g., packing slips, service reports, returned goods).
  • Review invoices and expense reports for appropriate documentation, accuracy, and approval prior to payment.
  • Manage the AP inbox and file transactions as appropriate.
  • Respond to vendor inquiries regarding payment status of invoices; reconcile vendor statements for discrepancies and support resolution.
  • Participate in vendor meetings as appropriate (e.g., COGS vendors, office supplies, consignments).
  • Process pass-through costs in coordination with the A/R department.
  • Purchase kitchen and office supplies using cost-containment strategies (e.g., bulk pricing, off-brand substitutes).
  • Track delivered packages, securely maintain copies of required backup documents (e.g., packing slips), and contact recipients.
  • Order Federal Express supplies and create online waybills for outgoing shipments.
  • Process outgoing mail, including applying correct postage.
  • Prepare other monthly reports and, upon request, review cost trends and vendor pricing analyses.

Requirements

  • Combination of relevant education and experience sufficient to succeed in the role, such as:
    • University/College Degree in Accounting, Finance or Business Administration.
    • Four (4) or more years of relevant experience processing high volume of complex invoices (preferred).

Location

  • 100% home-office based.
