Overview
A public accounting firm is seeking a Tax Administrator to join their team. This role is critical to the operational success of the Tax Department, ensuring deadlines are met, filings are accurate, documents are organized, and clients are well-informed. The position offers significant responsibility, visibility, and impact from day one.
Responsibilities
Department Operations & Workflow Management
- Facilitate daily operational processes within the Tax Department
- Manage project tracking, data collection, and client triage
- Receive, organize, and distribute tax documents to preparers
- Maintain accurate tax records, documentation, and financial statements
- Ensure documentation is audit-ready and accessible
Client Communication & Support
- Act as liaison between clients and internal tax personnel
- Coordinate and distribute draft and final tax returns
- Provide high-quality client communication and follow-through
- Track receipt of required documentation and manage client reminders
E-File & Compliance Administration
- Electronically file tax returns and extensions
- Send and track E-File Authorization Forms
- Monitor acknowledgements and rejections
- Ensure timely resolution of filing issues
Technology & Systems Management
- Manage tax software updates, renewals, and access controls
- Facilitate onboarding access for tax-specific applications
- Maintain vendor relationships with software providers
- Identify opportunities to streamline workflows through technology
Billing & Reporting
- Manage the pre-bill and review function for the Tax Department
- Track engagements and support accurate invoicing
- Track tax team utilization statistics
Requirements
- Previous experience in tax administration or a related field
- Strong technology skills and proficiency with Microsoft Office
- Excellent written and verbal communication skills with effective listening
- Ability to work well under pressure in a fast-paced environment
- Quick learner with the ability to apply knowledge to streamline processes
- Team player with a desire to actively participate within the organization
- Working knowledge of Slack, Thomson Reuters UltraTax CS and Accounting CS, QuickBooks Online, and Gusto is a plus
- Bachelor’s degree from an accredited college or university

Compensation & Benefits
- Salary: $60,000 - $65,000 per year or hourly equivalent
