Overview

This role supports clients through the financial side of their legal matter. You will help clients understand where their money is going, why it matters, and how billing connects to the outcomes they are working toward. The work includes explaining service and billing processes clearly, keeping trust accounts funded and clients informed, and helping cases move forward by ensuring collections can happen naturally through strong communication.

Responsibilities

  • When a client says they cannot pay, walk through all available options (credit cards, personal loans, family support, employer assistance, and legal fee financing programs) and explore before accepting.
  • Confirm all credits, write-offs, and billing holds in writing before any related bill is finalized.
  • Call every client before sending a replenishment request; no replenishment email is sent without an attempted phone call.
  • Check attorney calendars for upcoming hearings, mediations, and trials, and initiate additional retainer requests.
  • Produce a weekly deliverable every Friday:
    • Complaints resolved this week
    • Complaints still awaiting attorney response
  • Provide specific dollar ranges for upcoming cost events so clients are never surprised.
  • Log every billing complaint in the tracker with a documented timestamp and route it to the responsible attorney via email.
  • Keep trust accounts funded and keep clients informed.
  • Lead every collections conversation with a brief case update (what was accomplished, what is upcoming, and how the work moves the client closer to their goal), then address the balance.
  • Maintain accounts receivable below 2% of total billings.
  • Within five (5) business days of a new client retaining the firm, deliver a billing tutorial covering:
    • Retainer structure
    • Evergreen replenishment
    • Invoice format
    • What to expect at each stage of the case
  • Flag any matter below the trust threshold to the assigned attorney the same day.
  • When attorneys communicate retainer reductions or billing pauses, document the instruction in Clio at the matter level the same day.

Requirements

  • 2+ years in billing, collections, or accounts receivable in a professional services environment; law firm experience strongly preferred.
  • Comfort with outbound phone calls and client-facing conversations.
  • Proficiency with practice management software (Clio Manage preferred).
  • Ability to read and interpret legal invoices, time entries, trust account statements, and engagement agreements.
  • Strong written communication for documented escalations, client correspondence, and weekly deliverables.
  • Proficiency with Google Workspace (Gmail, Sheets, Calendar, Drive).
  • Prior use of LawPay, Dialpad, or Clio Grow.

Preferred Qualifications

  • Experience in a law firm environment.
