Monthly rate: $1800–2150
Responsibilities
General Ledger and Month-End Close
- Own the monthly close on an accrual basis under U.S. GAAP, with a target close of 10 business days or less within 6 months.
- Prepare and post journal entries and accruals (including unbilled revenue, payroll, and contract labor), as well as prepaids and deferrals.
- Reconcile all balance sheet accounts monthly, including: bank, credit card, loan and line of credit, AR, AP, payroll liabilities, fixed assets, and leases.
- Prepare the monthly financial package (P&L, balance sheet, cash flow) and flux analysis for the CFO.
- Maintain the chart of accounts, job and class coding, and fixed asset and lease schedules.
- Support year-end tax preparation, lender reporting, and any review or audit requests.
Accounts Receivable and Billing
- Build and issue customer invoices from timesheets, rate sheets, contracts, and change orders, including progress billing and retention.
- Match each invoice to customer PO numbers, contract terms, and billing rules before issuance.
- Manage AR aging, collections follow-up, and cash application; escalate past-due accounts early.
- Track contract value against amounts invoiced by project and flag under-billing or scope creep.
- Maintain customer vendor-portal registrations and billing requirements.
Accounts Payable
- Run AP intake, three-way match (PO, receipt or approval, invoice), coding to project and GL, and approval routing.
- Manage subcontractor and vendor setup, W-9s, certificates of insurance, and 1099 reporting.
- Prepare weekly payment runs aligned to the 13-week cash flow forecast for CFO approval and release.
- Process employee expense reimbursements and corporate card reconciliations.
AI and Automation
- Use AI tools (e.g., Claude, ChatGPT, Microsoft Copilot) to draft reconciliations, flux commentary, collection emails, and variance explanations, with human review of every output.
- Deploy AI-assisted AP capture: invoice data extraction, auto-coding suggestions, duplicate detection, and approval routing.
- Automate AR workflows: invoice generation from timesheet data, payment reminders, cash application matching, and aging alerts.
- Build and maintain repeatable prompts, templates, and checklists so automations are documented, reviewed, and auditable.
- Identify one process per quarter to automate, measure hours saved, and report results to the CFO.
- Protect data: ensure no customer, employee, or banking data is entered into tools that are not approved by the employer.
Controls and Process
- Maintain segregation of duties, approval thresholds, and audit trails across AR, AP, and payroll.
- Keep SOPs for AP, procurement, billing, and close current and train others on them.
- Support payroll accounting and reconciliation with the payroll platform.
